Privacy Policy

This policy explains how Igor Kałużny, trading as Nailbook, handles your personal data as a Nailbook customer (the salon owner or nail technician). For the personal data you store about your own clients, you are the controller and we act as your processor under the Data Processing Agreement, so this policy is about your data, not theirs.

Who we are

Igor Kałużny is a sole trader based in the United Kingdom, trading as Nailbook, and is the controller of your account data. Contact: support@nailbook.co.uk.

What we collect

  • Account details: your name, salon name, email address and password (stored only as a secure hash).
  • Billing details: your plan and payment status. Payments are handled by Stripe; we do not see or store your full card number.
  • Usage and technical data: IP address, device/browser information and server logs, used for security and to run the service.
  • Anything you send us when you contact support.

Why we use it, and our lawful basis

  • To provide and maintain your account and the service, which is performance of our contract with you.
  • To take payment and prevent fraud, which is contract and our legitimate interests.
  • To keep the service secure and diagnose problems, which is our legitimate interests.
  • To meet legal and tax obligations, which is a legal obligation.

Who we share it with

We use a small number of trusted providers who process data on our behalf to run Nailbook: Stripe (payments), Resend (sending email), and DigitalOcean (hosting). We do not sell your data or share it for advertising.

Where it is held

Your data is hosted in the United Kingdom / EU (DigitalOcean, London region). Where a provider processes data outside the UK, we rely on appropriate safeguards such as UK/EU adequacy or standard contractual clauses.

How long we keep it

We keep your account data for as long as your account is active and for a short period afterwards, then delete or anonymise it. Some records (such as invoices) are kept for around six years to meet UK tax law.

Your rights

You have the right to access your data, correct it, delete it, restrict or object to processing, and to data portability. You can also complain to the Information Commissioner's Office (ico.org.uk). To exercise any of these, email us.

Security

We protect your data with encryption in transit, hashed passwords, access controls and regular backups.

This service is privacy-first: it does not use cookies, does not store your IP address, and does not track you across other websites or build any profile of you.
